Claude for Excel is a Microsoft 365 add-in that lets Claude read, edit and build directly inside a live workbook instead of you exporting data to a chat window, and it now runs on every paid Claude plan after starting as a Mac-and-Enterprise-only beta. 1. Comparing subcontractor bids inside the workbook

Claude for Excel can read subcontractor quote PDFs straight into a comparison workbook and run a bid-leveling skill without you leaving the sheet, pulling pricing, exclusions and clarifications out of each quote and lining them up against the original request for quote. This is the single most useful thing it does for a construction business, because bid leveling is exactly the kind of grounded, document-heavy work Claude is built for.

In the demo I had three electrical subcontractor quotes and the request for quote that went out to them, uploaded as PDFs alongside a prompt naming the ContractorOS subcontractor quote analysis skill. Claude read all four documents, matched each quote’s line items back to the RFQ sections, and populated the workbook with an executive summary (risk, scope coverage, adjusted total against the initial total, key clarifications needed before award), a price comparison tab showing the low, high and spread across contractors, a scope exclusions summary, and an adjusted comparison that levels the field.

None of that decides who wins the package. It structures three PDFs of inconsistent formatting into one comparable table so the award decision, still yours, is made on complete information instead of a manual re-read of each quote. 2. Catching errors in an estimate before it goes out

Claude for Excel can run an audit skill against a live workbook that surfaces hard-coded values sitting where a formula should be, broken cell references and circular references, then proposes a fix for each one that you can accept or reject before the bid goes out. On an estimate, a single hard-coded number that stops updating when a quantity changes is exactly the kind of silent error that survives to the submitted bid.

In the demo, one cell in a quantity-times-rate setup had been hard-coded instead of left as a live formula, so it would not move if the quantity above it changed. Pointing Claude’s audit skill at just that sheet, rather than the whole workbook, found it immediately, along with a couple of circular references and formatting inconsistencies, and suggested the fix for each one. You can accept every edit at once or step through a change log if you want to review what moved before committing to it.

This is a checking tool, not a rebuild. It still needs a person who understands the estimate to confirm each fix is actually correct for that line: Claude indexes and cross-checks, you own the judgment on whether the number is right.

3. Turning a cost report into a summary for stakeholders

Claude for Excel can read a live cost report, cost codes, budget, change orders, committed and spent-to-date columns, and write a plain-English summary of the variances and why they happened, ready to hand to a project director who does not want to read the raw sheet. It reads the notes and status columns already in the report rather than inventing a reason.

In the demo, Claude picked out that a structural cost overrun traced back to steel price escalation, straight from the numbers and notes already sitting in the cost report. Feed it more context, a risk register, a procurement status update, and the summary gets sharper, because it has more of the real picture to draw the explanation from. Feed it nothing extra and it can only report what the sheet already shows.

The summary is a starting draft for a conversation, not the final word on why a project is over budget. A project director reading it still needs to know the numbers came from your live cost report and the reasoning is only as good as what was in front of Claude when it wrote it. Same trust boundary as everywhere else on this list: it summarizes what the sheet already says, it does not go and investigate why the steel package actually blew out.

4. Sending Excel insights straight into Word

The same Claude session that just summarized your cost report can carry that context across into a Word document, so a summary drafted in a spreadsheet becomes a shareable report without you re-explaining anything or re-uploading a file. Claude for Excel works alongside Claude for Word and Claude for PowerPoint through the Microsoft 365 add-ins, and it is the same underlying account and conversation moving between them.

In the demo, after Claude wrote the cost variance summary in Excel, asking it to put that into a Word document instead prompted it to say it needed Word open with Claude loaded, then it carried the same insights across and formatted them into a document once permission was granted. It was a generic layout off a simple prompt, but the transfer itself, no copy-paste, no re-explaining the numbers, is the actual feature.

5. Building pivot tables from a plain-English request

Instead of clicking through Excel’s ribbon, Claude for Excel can build a pivot table from a description of what you want to see, and it is genuinely useful for anyone who finds the pivot table menu itself the barrier. Ask for hours by trade by week and cost by trade by activity, and it builds both, in a new tab, without you touching the ribbon.

The first pass in the demo came back as regular tables instead of pivot tables, with extra tables nobody asked for. A follow-up prompt, correcting the table type and cutting the extras, got closer, and a third pass tidied the formatting and put the key findings summary back after it had been dropped. Three prompts to get two pivot tables right is not a huge win over doing it manually once you know the ribbon, and it is the least construction-specific of the five things on this list.

Where it earns its place is a workflow you run often. Labour hours by trade by week and cost by trade by activity are the kind of breakdown a lot of project controls people rebuild from scratch every reporting period. Common mistakes to watch for

  • Treating Claude for Excel like Cowork. It cannot see your CLAUDE.md or project folder, only the workbook and whatever you upload with it. Keep an AI-instructions tab in the workbook if the sheet needs to carry context between sessions.
  • Letting it near the takeoff. Nothing here touches measuring quantities off a drawing. AI vision still is not reliable enough for it: the best models score around 50 percent on Tim Fairley’s analog clock-reading benchmark, against a human baseline of about 91 percent.
  • Accepting all edits with no backup. The demo used accept-all-edits because there was a backup copy of the workbook first. Do the same before you let Claude touch a live estimate.
  • Re-prompting the same task every time. The pivot table demo took three rounds to get right from a single prompt. Anything you do more than a couple of times a month is worth capturing as a skill with a defined output.
  • Letting the bid comparison make the award call. The subcontractor comparison structures the quotes; it does not choose the winner. Clarifications and trade-offs still need a person to work through before you award the package.
